How to Notify Multiple Adjoining Owners/Occupiers?

This article explains how to notify Adjoining Owners/Occupiers/Neighbours.

Optimal Approach: Notify all Adjoining Owners/Occupiers/Neighbours through the Application Workflow

Sending Letters or notifications to multiple adjoining owners/occupiers is only possible through the Workflow defined for that application process. 


Step 1: Hover over 'Proceed To' and click on the 'Advertise/Advertisement/Advertise Application' transition.

Step 2: After click this transition, a new window will appear where the assigned staff could choose to send out the email notification and letter to an Applicant/s or to the Adjoining Neighbours/Residents mentioned in the 'Owners and Occupiers' section of the application. 


Step 3: We can now decide to exclude any Adjoining Owner/Occupier if applicable and also attach extra attachments to this notification sent out. 
             

Step 4: Click on 'Continue' to send out the relevant notification/email to the respective adjoining owners/occupiers. 


NOTE:
To the Adjoining Owner/Occupiers without an email address provided/mentioned, that letter or notification will be sent to the 'Print Queue' where we could send the printed letter to the address of the respective Resident or Contact. 
To confirm the letter, you could verify the Application Number (PAXXXX) of the application or the workflow transition of the Previous Status to the Current Status of that specific application. 

You could Merge and Download all the documents sent to the print queue for that specific application or select a specific document and download and print that alone. Once the document has been processed to Download, it will be removed from the Print Queue.
